About the Position: Office Manager
As an Office Manager, you will be responsible for leading our team to success. It starts by learning the culture of Texas Tiny Teeth. You will master the three principles of our company – training, marketing, and customer service.

Requirements and Qualifications:
-Direct the operation of the practice and its efficient functioning.
-Maintain a professional work environment.
-Monitor patient flow and staff allocation to meet patient needs, maximizing doctor’s time.
-Coordinate absences and time-off requests with Operations Manager
-Supervise front and back office staff, resolving any clinical-administrative problems, and developing measurable performance objectives for the team.
-Observe and evaluate workers’ performance and appearance to ensure quality service and compliance with policies. After reviewing with the operations manager, issue corrective coaching, oral and written, as appropriate, to communicate practice standards and protect the practice from liability.
-Act as liaison between staff and management team in development of policy.
-Lead morning huddles.
-Prepare, monitor, and track operational reports and key vitals of the company to ensure accuracy and efficiency.
-Implements procedural or policy changes as given by Operations Manager.
-Acquire, distribute, and store supplies, or supervise another to do so.
-Monitor the facilities to ensure that it remains safe, secure, and well-maintained.
-Oversees billing and collection processes.
-Inspect work areas and operating equipment to ensure conformance to established standards in areas such as cleanliness and maintenance.
-Supervises patient record keeping and HIPAA compliance.
-Develops and monitors effectiveness of marketing campaigns
-Oversees IT systems, uses and effectively monitors usage of practice management and patient record software.
-Oversees systems for patient retention, follow-ups, and new patient acquisition.
-Ensures optimal patient care, monitors patient satisfaction, and resolves complaints.
-Informs owners of current trends, issues, pertinent issues to facilitate policymaking.
-Represent the practice in a professional, pleasant, and cooperative manner.
-Contributes to the development of the practice’s mission and strategic vision.
-Acts as the main point of contact for community outreach efforts. Send all needed info to the Operations Manager.
-Clearly and respectfully communicates with the practice owner/operations manager to develop, implement, and monitor effective programs.
-Maintains regular, consistent, and punctual attendance in accordance with assigned schedule and time off policies.
-Must be able to comfortably and efficiently handle multiple deadlines and task assignments for self and subordinates.
-Must be able to work both independently and cooperatively in team settings.
-Assist with all front office duties throughout the day.
-Oversee all daily chores for all positions.
-Order office supplies.
-Prepare End-of-Day reports, settling credit card accounts, and preparing and making bank deposits.
-Prepare End-of-Month Report, when necessary (If applicable)
-Must be knowledgeable in all front office positions/duties.
-Additional responsibilities as needed and as appropriate.

Responsibilities include, but are not limited to:
-2 years of management/supervisory experience or 4 years of supervisory/management experience.
-Valid driver’s license and reliable transportation.
-Practice management software experience with Open Dental & Cloud9 is a plus!
-Excellent organizational skills and attention to detail.
-Excellent verbal and written communication skills.
-Ability to multi-task and work in a fast-paced environment.
